Privacy and personal data
We take your privacy very seriously. In order to provide access to this site, we need to collect and store personal information about you.
What is collected?
We collect the data that you provide when creating an account, such as name and email. We also collect data about your activity on the site, including any contributions that you make to course forums.
How is this information used?
This information is only used to provide access to the online courses on this site.
How long is my data stored?
Your personal data is stored as long as your account is active on this site.
This is the Privacy Notice for Links2culture, L2C (or “we”), the people behind this website. This website uses Moodle software which is a free and open source LMS (Learning Management System). We hope this Privacy Notice outlines how we manage your personal data in a clear and straightforward way.
What is covered by this Privacy Notice?
Your privacy protection is important to us, so we have adopted the UK’s General Data Protection Regulation (“GDPR”) as the most advanced and protective Privacy Law globally.
Under GDPR “personal data” is defined as: “any information relating to an identified or identifiable natural person (the ‘Data Subject”) and a Data Controller determines the purpose and means of processing personal data., whereas a Data Processor is responsible for processing data on behalf of the Data Controller.
Why do we collect and store personal data?
In order for us to be able to identify you as the user of a learning account on our website we need to collect your personal data for correspondence purposes and/or to allow us to provide you with course content. We ensure that the information we collect and use is appropriate for this purpose. We do not collect any more information than we need to be able identity you as the user of a learning account and to be able to contact you.
We only process your personal data for specific purpose of providing you with learning content. We will not share your personal data with anyone 3rd Party.
The special categories of personal data we process are:
- Full name
- Email address
- Country (in order to identify your timezone when corresponding with other course users)
- Your company or organization
- A profile photo of your choice.
As a user you are able to decide for yourself and control what personal information you share with other users on a course. You are also able to examine and edit your own account profile withing the website.
How do we use your personal data?
We will process (collect, store and use) the information you provide in a manner compatible with the UK’s General Data Protection Regulation (“GDPR”). We will endeavour to keep your information accurate and up to date, and not keep it for longer than is necessary. We maintain a register of personal data processes which include a record of the data retention policy for each type of data collected and we commit to only process the minimum amount of data needed.
We use this to enroll you in courses, facilitate those courses and allow communication between you and the facilitators and other participants. By registering and enrolling in a course you have given us your consent to use your information for the purposes stated above.
In using our training platform you will be able to write content and communicate with facilitators and participants in various ways such as:
- Forums
- Messaging and chats
- Wikis
- Workshops and assignments
- Profile - information you choose to share about yourself
This content and communications may be visible to other participants and facilitators in the course and on the training platform.
We hold no personal information about you other than the information that you supply when you register for a learning account, and you will have full access to that information via the login credentials that you set-up at that time. You therefore retain full viability of this personal data.
By consenting to this Privacy Notice you are giving us permission to process your personal data specifically for the purposes identified. Where consent is required for us to process both standard and sensitive types of personal data, it must be explicitly given. Where we are asking you for sensitive personal data we will always tell you why and how the information will be used. Agreement with this Privacy Notice and its accompanying terms and conditions (as applicable) will be considered to be explicit consent and we will keep a copy of the records of that consent for audit purposes.
You may withdraw consent at any time by requesting that your learning account be deleted.
Retention period and your GDPR rights
Course content
is archived within six months of the course completion date and deleted within
two years. Your user profile remains active for 1 year after completing your last
course and will be deleted within 2 years of completion of your last course.
For the purposes of tracking your progress, we
will keep course completion records for 7 years. This includes the following data:
- Your name
- Names and dates of courses completed
Your rights as a Data Subject
At any point while we are in possession of your personal data or we process those, you, the Data Subject, have the following rights:
- Right of access – you have the right to request a copy of the information that we hold about you.
- Right of rectification – you have a right to correct data that we hold about you that is inaccurate or incomplete.
- Right to be forgotten – in certain circumstances you can ask for the data we hold about you to be erased from our records.
- Right to restriction of processing – where certain conditions apply to have a right to restrict the processing.
- Right of portability – you have the right to have the data we hold about you transferred to another organisation;
- Right to object – you have the right to object to certain types of processing such as direct marketing.
- Right to object to automated processing, including profiling – you also have the right to be subject to the legal effects of automated processing or profiling;
- Right to judicial review: in the event that Links2culture refuses your request under rights of access, we will provide you with a reason as to why. You have the right to complain as outlined in the section named “Complaints” below.
Retention period
We will process different forms of personal data for as long as is necessary and proportionate for the purpose for which it has been supplied and will store the personal data for the shortest amount of time possible, taking into account legal and service requirements.
